School Administrative Officer

An established primary school are seeking an School Admin Officer to support the finance, administration, and HR functions. Working in a small and friendly office, the key areas are finance and administration with supervision of the receptionist/office administrator.

Start: January 2022

Term Time only - Hours 9.00 to 5.00pm


Day to day management of the school, ensuring adequate and efficient administration systems are in place.

Preparing and generating timely returns for the Local Authority, DfE and other agencies and stakeholders as required, including submitting end of key stage assessment data, and all censuses.

Managing the administrative and financial arrangements for all extra-curricular clubs including Breakfast Club and Play Club.

Leading administration tasks linked to safeguarding in the school.

Draft and produce information for publications such as the school booklet and whole school policies.


Support the administration of the school budget and be responsible for financial tasks including processing and checking orders, processing invoices and producing cheques and/or electronic payments.

Promote and reconcile the use of the electronic payments system with parents.

Oversee the receipt of monies at the office and processing of banking in a timely fashion.

Administer and provide reconciliation of payments using the school purchase card.

Produce financial reports including monthly reconciliations.

Human Resources

Administrative arrangements relating to the recruitment of staff including placing adverts and preparing contracts.

Carrying out pre-employment checks including references and DBS checks

Maintain an up to date Single Central Record as required by legislation.

Ensure up to date staff records are maintained and preparing/submitting timesheets/pay claims including recording staff absence.


Manage admissions to Nursery. Maintain and apply Nursery admissions policy, maintain a waiting list, manage a timetable of part and full-time places making recommendation to SLT on appropriate offers and making offers to parents.

Keeping abreast of current local and national admissions guidelines and advising parents and staff appropriately about these criteria.

Liaise with staff, parents and the LA on all matters in relation to admission and devise and implement efficient systems to ensure smooth transition.

Co-ordinate parent visits and transition meetings.
